Every value in 7G Carbon Platform can be backed by a document: an invoice, a certificate of completion, a delivery note, a photo of meter readings or a contract. A document is attached to a specific saved value rather than to the month as a whole. The platform builds the year's completeness from confirmed months: a facility's year is complete when every month of operation is confirmed for each source and documents are attached to all required fields.
What to attach
| Data | Suitable document |
|---|---|
| Fuel consumption (Scope 1) | invoice, delivery note or certificate for the consumption |
| Electricity, heat, steam, cooling (Scope 2) | supplier's invoice or statement, photo of meter readings |
| Grid of a connection | power supply contract or invoice |
| Equipment characteristics | technical passport, inspection report, certificate |
| Scope 3 | invoice or statement showing the values |
The platform accepts PDFs, images (JPEG, PNG) and text files. Why records backed by primary documents are more reliable than estimates is explained in Data quality in emissions accounting.
How to attach a document
- Save the value: a document is linked to a field's saved value.
- Click the paperclip next to the field to open the “Evidence” panel. Drag a file into it or select one.
- A file already uploaded to another field can be attached with “Attach here”, without uploading it again.
- Images, PDFs and text files open for viewing right in the platform; remove an unneeded file with “Detach”.
There are shortcuts too. When adding equipment, you can select the document for its consumption straight away with “Attach a document” — it is attached after saving. In Scope 3, files can also be selected before saving and are uploaded together with the data. A passport or certificate for a piece of equipment goes in the “Card documents” block of its card: it confirms a characteristic of the equipment, not the month's consumption.
A required field carries the label “Evidence required” with the note “The year cannot be closed without a supporting document”; once a document is attached, the label changes to “Document attached”. Other fields are marked “Optional”. If the value is changed after a document has been attached, the document is flagged “Does not confirm the current value”: attach a new one or, if the document is still correct, click “Confirm current value”.
Month completeness
A source's month is confirmed in the “Month by source” block with “Data complete” or “No consumption”. In the year overview, each month shows how many sources are confirmed, for example “2 of 3 confirmed”. Until all months are confirmed, the annual total is marked “preliminary” and “not all months confirmed”.
Year completeness and the list of sources
A facility's year is complete when:
- for every source, all months in which it operated are confirmed — with a complete calculation or the “No consumption” mark;
- documents are attached to all required fields;
- the facility's list of sources is confirmed, meaning nothing has been left out;
- if the facility has no sources at all in Scope 1 or Scope 2, this is confirmed explicitly, for example with “The object purchased no energy (Scope 2) in 2025”.
The list of sources is confirmed automatically once the year has ended and the year is complete for every Scope 1 and 2 source. If you later add a source or change its period of operation, the automatic confirmation stops applying until the new months are confirmed.
Example: a boiler house and a generator
The boiler house operated all year, while the warehouse's diesel generator was marked “No longer in use” in July, with June as its last month in use. For the year to be complete, you need 12 confirmed months for the boiler house and 6 for the generator; months after June are not required for the generator. As long as December is not confirmed for the boiler house, the year is incomplete. Once December is confirmed and the year has ended, the list of sources is confirmed automatically.
Frequently asked questions
Can the year be closed without documents?
Not if a field requires a document: without it, the year cannot be closed. You can still create the annual company report, and the gaps will be listed in it.
Who can attach and detach documents?
The administrator sets this in the employee's permissions, in the “Documents” row: viewing and downloading, uploading, attaching to values and detaching are four separate permissions.
What happens to a document if I delete a data row?
The row is deleted immediately and its document links are removed. The change history is kept and shows who attached and detached documents, and when.
