Once a facility's data for the year has been collected and confirmed, the facility's year is closed, and from then on its data is view-only. Totals for all facilities appear in company analytics, and the administrator uses them to produce the annual GHG report in PDF and DOCX. The report can be created even with incomplete data: the gaps will be flagged in it.

Closing a facility's year

  • A year can be closed after it has ended and once its data is complete: all source months are confirmed, required documents are attached and the list of sources is confirmed. What completeness involves is described in Documents and data completeness.
  • The year is closed by the organization's administrator or by the facility's responsible employee who has permission to edit data.
  • In a closed year, the form opens in view-only mode: “Year closed — view only”.
  • Only the administrator can reopen a year. Closing and reopening are recorded in the “Change history” as “Year closed” and “Year reopened”.
  • If Scope 3 is turned on for the year, closed facility years reopen: closing them will also require Scope 3 data.

Why periods are closed at all is explained in Monthly emissions accounting and period closing.

Company analytics

Open “Facilities” and click “Organization GHG analytics”. Here you will find:

  • Scope 1, Scope 2 (location-based) and Scope 3 cards with totals for all facilities; for an incomplete year, the figure is marked “incomplete data”, and where there is no data you see a dash rather than zero;
  • a “vs previous period” comparison, shown only when both years are fully complete;
  • a map of regions: click a region, and the cards and the “Emissions trend” chart are recalculated for its facilities;
  • a period selector — year, quarter or month;
  • the “List” view: Scope 1, 2 and 3 and the total for each facility, marked “Calculated” or “Incomplete data”.

The annual company report

  1. On the GHG analytics page, the administrator clicks “Create report”. The year is chosen in the report panel itself; by default, it is the last completed year.
  2. In “Company data”, enter “Employees” and “Revenue” with its currency — these figures go into the report. In “Objects in the report”, a click includes or excludes a facility; give a reason for each excluded facility.
  3. Click “Generate report”. The platform checks the year's data and shows a summary of gaps and a card for each facility: gaps “For the whole year” and a “By month” strip for Scope 1, 2 and 3. Click a month to see what is missing in it, with a “Go to data entry” link.
  4. If there are no gaps, click “Create report”. If there are, click “Create report with incomplete data”: this is a deliberate decision, and the gaps will be flagged in the report. “Go and fix” takes you back to the data without creating a report.
  5. In the “Report versions” list, each version goes through the steps from “Queued” to “Done”, after which it can be downloaded in PDF and DOCX. Each version is marked “Complete data” or “Incomplete data” under its date.

The platform calculates Scope 2 with both methods, but the report total rests on one of them. By default, the Scope 2 basis is the location-based method. The report is a technical draft for review by a GHG specialist: it does not confirm conformity with the GHG Protocol or ISO 14064. What an inventory report should contain is described in GHG inventory report: structure and content.

Example: a report with gaps

A company has three facilities. The check shows that November and December are missing from the office's Scope 2. The administrator creates version 1 with incomplete data to show management the preliminary figures. A week later, the bills are entered and the months confirmed, and a new run produces version 2, marked “Complete data”. Had the data not changed, the platform would have replied “A report on this data already exists — version 1”.

Frequently asked questions

Can an employee create the annual report?

No. Only the organization's administrator sees the “Create report” button. An employee with permission to view data sees analytics for their own facilities.

Why is there no comparison with the previous year?

The comparison appears only when both years are fully complete. While either of them is incomplete, the comparison would be misleading.

Are earlier report versions lost?

No. All versions stay in the “Report versions” list, and each can be downloaded in PDF and DOCX. The “Complete data” or “Incomplete data” mark shows what kind of data each version is based on.
